Purpose

The Passpaw integration helps veterinary practices manage international pet travel documentation with greater clarity and accuracy.

Passpaw simplifies the complex process of preparing international health certificates by guiding practices through destination-specific requirements, validating medical records, and integrating directly with the USDA’s VEHCS system for certificate endorsement.

By connecting Passpaw with Shepherd, clinics can automatically pull patient records, streamline health certificate preparation, and reduce errors during the travel documentation process.


Integration Overview

When Shepherd is connected to Passpaw, patient, client, and medical information can be securely imported into Passpaw to assist with international travel documentation workflows.

Up-to-Date Destination-Specific Workflows

Passpaw provides guided workflows based on the latest travel requirements for each destination country.

Once vaccine and treatment records are imported from Shepherd, Passpaw compares the records against the destination’s rules and alerts the clinic and client if anything is missing, outdated, or incorrectly timed

If requirements are not met, Passpaw recommends the next steps and timing needed to meet travel eligibility, including when vaccines or treatments must be administered and whether travel dates may need to change.

Automated Health Certificate Generation

Passpaw automatically imports relevant client, patient, and medical information from Shepherd to populate international health certificates (IHC). The system also fills in required fields for the USDA’s VEHCS system, ensuring certificates follow the correct format and include accurate data. This reduces manual data entry for veterinarians and significantly lowers the risk of documentation errors.

Client Portal for Trip Management

Passpaw includes a client portal where pet owners can enter travel details and track the status of their pet’s travel documentation.

Through the portal, clients can:

  • Enter travel information directly

  • Receive updates about requirements and timing

  • View outstanding tasks related to their trip

Examples of tasks clients may see include:

  • Import permits

  • Provide advance notifications

  • Complete required documentation

This helps reduce back-and-forth communication between the clinic and the client while keeping everyone informed throughout the process.

Document Validation

Passpaw validates imported vaccines, treatments, and microchip information before the health certificate is finalized.

The system flags:

  • Missing documentation

  • Inconsistent information

  • Improper vaccine or treatment timing

Identifying these issues early helps prevent last-minute delays and improves the accuracy of submitted documentation.

VEHCS Integration

Passpaw integrates directly with the USDA’s Veterinary Export Health Certification System (VEHCS).

This allows clinics to complete the certification workflow alongside health certificate preparation, streamlining the process from pulling medical records to submitting USDA documentation.

Client and Practice Support

Passpaw’s support team is available to assist both veterinary practices and pet owners with questions related to international travel.

Support may include help with:

  • Understanding country-specific requirements

  • Interpreting vaccine history

  • Determining proper timing for treatments

  • Navigating documentation workflows

Their team can guide practices step by step through the travel preparation process.


Activating the Passpaw Integration

Step 1: Create a Passpaw Account

To use the integration, you must first have a Passpaw account.


Step 2: Connect Shepherd in Passpaw

  1. Log in to your Passpaw account.

  2. Navigate to the Settings tab.

  3. Open the Integrations section.

  4. Click Connect next to Shepherd.


Step 3: Enter Your Shepherd ID

During the connection process, you will need to enter your Shepherd ID.

Instructions for locating your Shepherd ID within your PIMS are provided in the Passpaw Integrations tab.


Step 4: Confirm the Connection

Once the connection is established, the integration will display a Connected status in Passpaw.
