Cash Rounding

Accept cash payments rounded to the nearest $0.05, while keeping the underlying invoice balance exact to the cent.

What You Need to Know

Rounding only applies to cash payments.

Card, Shepherd Pay, CareCredit, check, ACH, and all other payment methods are always processed to the exact cent. Only cash is ever rounded.

The invoice total is never modified by rounding.

Cash Rounding is a cash settlement adjustment only. The underlying invoice balance, taxes, discounts, and fees remain exact. Rounding happens after the invoice is calculated, to determine how much physical cash should change hands.

Refunds follow the current rounding settings—not the original transaction's settings.

If your clinic's rounding method changes after a payment is made, the refund will follow the method currently configured at the time the refund is issued.

Cash deposited directly into a client's Credit Balance is not rounded.

Only cash physically leaving the clinic—such as a cash refund issued from a Credit Balance—is subject to rounding.

Changing or disabling Cash Rounding does not affect historical transactions. Past payments retain the rounding method and adjustment that were in effect when they were processed.


Enabling Cash Rounding

Cash Rounding is disabled by default. To enable it:

  1. Go to Admin > Clinic Settings > Financial Settings > Invoice Settings

  2. Enable Cash Rounding

  3. Select a rounding method (see below)

  4. Save your settings

All changes to Cash Rounding settings—including enabling, disabling, or switching methods—are recorded in your clinic's General Setting History, along with the user, date, and time of the change.


How Rounding Works

Shepherd calculates the full invoice first, then applies rounding to determine the physical cash amount:

Prices − Discounts + Fees + Taxes → Exact Invoice Total → Cash Rounding → Cash Total

The difference is recorded as a Rounding Adjustment—not a charge, discount, tax, or separate payment method. When an invoice is paid with multiple cash transactions, each is rounded independently.

When rounding changes the cash total, Shepherd displays a breakdown wherever payment details appear—including Take Payment, payment confirmation, invoice summaries, receipts, and PDFs:

  • Total Before Rounding — the exact invoice amount

  • Rounding Adjustment — the difference applied by rounding

  • Cash Total — the amount to collect from or return to the client

The Pet Portal shows the rounded cash amount in payment history but does not display the full breakdown.


Rounding Methods

Symmetrical Nickel Rounding

Symmetrical Nickel Rounding rounds the cash total to the nearest $0.05. This is the default method when Cash Rounding is first enabled. Refunds follow the same nearest-nickel logic, meaning the refunded amount can round either up or down—unlike Round-Down-Only, there is no guarantee the rounding will favor the client.

Round-Down-Only

Round-Down-Only always rounds cash payments down to the next $0.05, so the adjustment favors the client. For cash refunds, this behavior reverses—Shepherd rounds the refund up to the nearest $0.05, so the rounding still favors the client.

Rounding requirements can vary by location. Shepherd is not able to advise which method your practice should use—consult your local regulations or accountant when choosing a rounding method.

Credit Balance Behavior

Cash Rounding behaves differently when Credit Balance is involved:

  • Cash added directly to Credit Balance is not rounded. The exact amount entered is applied to the client's balance.

  • Cash refunded from Credit Balance is rounded. Because physical cash is leaving the clinic, the current rounding configuration applies.

  • When a single cash payment covers both an invoice and a Credit Balance deposit, Shepherd calculates rounding against the total physical cash exchanged, rather than treating each portion separately.


Refunds and Historical Transactions

Cash refunds follow your clinic's current Cash Rounding settings at the time the refund is issued. This means a refund may use a different rounding method than its original payment if your clinic's settings have changed since then.

Historical payments are not recalculated when Cash Rounding is enabled, disabled, or changed. Each transaction retains the rounding method and adjustment that applied when it was processed.


Reporting and Reconciliation

Rounding adjustments appear throughout Shepherd's financial reports so you can reconcile the exact invoice amount with the physical cash exchanged.

End of Day, Summary, and Transaction reports include rounding adjustments for cash payments and refunds.

One important distinction to understand in reports:

  • Paid / Amount Paid = the amount applied to the invoice (exact)

  • Cash Total = the physical cash collected or returned (rounded)

These figures may differ slightly when Cash Rounding applies, while the invoice still reaches a $0.00 balance.

Cash Reconciliation: reflects the actual rounded cash amounts in Cash Received, Cash Refunds, and Deposit Summary—so your expected drawer total matches the money physically collected or returned.

QuickBooks Journal Entry Report: includes a separate Rounding Adjustment / Cash Payment Rounding line so rounding gains or losses can be accounted for independently while keeping the journal balanced.

Report CSV exports include rounding values for reconciliation.

What Cash Rounding Does Not Affect

Cash Rounding does not change:

  • Revenue

  • Sales tax

  • Discounts

  • Production

  • AR Aging

  • Invoice Line Item reporting

  • Any other pricing-based financial calculations

The rounding difference is always recorded as its own cash settlement adjustment, separate from all financial calculations.


Frequently Asked Questions

Why does my Cash Total differ from the invoice balance by a few cents?

When Cash Rounding is enabled, the Cash Total is the physical cash amount to collect or return—it may differ slightly from the exact invoice balance. The difference is recorded as a Rounding Adjustment. The invoice itself remains exact and still reaches a $0.00 balance when paid.

Does Cash Rounding affect my revenue, taxes, or discounts?

Cash Rounding does not affect revenue, sales tax, discounts, production, AR Aging, or any other pricing-based calculation. The rounding adjustment is a cash settlement adjustment only and is recorded separately from all financial calculations.

What happens if I change my rounding method after transactions have already been processed?

Historical transactions are not affected by rounding method changes. Each payment retains the rounding method and adjustment that were in effect when it was processed. However, any cash refunds issued after the change will follow the currently configured method—regardless of which method was used for the original payment.
