New estimate features, estimate improvements, updated reminder color coding, new default weight setting, reporting changes & more!

New Features

Estimates | Electronic Estimates

Estimates created from the patient page can now be shared with clients prior to an upcoming visit to collect a client approval signature. Electronic estimates will offer a direct link or an email communication to share the estimate with the client. Clients can provide an electronic signature similar to how existing form features behave.

Estimates | New Patient Page Tab

To support better estimate management alongside the addition of new electronic estimates, the patient profile page has also been optimized to offer an Estimates specific tab where all estimates are neatly organized and available for comprehensive overview.

New Client Profile Fields

To better support varying regulatory reporting and medication handling requirements, our client profile information fields have been expanded to include fields for Client DOB, Client Gender, Client Driver's License State, Number, and Expiration Date. These fields are optional for completion. Selection options for the new Gender field are aligned with regulatory reporting specifications. The new client fields are also included in the existing Client and Prescription reports.

Preferred Weight Unit Customization Setting

We have added a new clinic setting to define your team's preferred default weight unit (Pounds, Kilograms, Grams). On any page where a patient weight can be entered, the selected default weight unit will display as the primary default unit. Previously all weight entry fields defaulted to kgs unit as the primary unit. The weight unit can be custom updated during weight entry if needed on a case-by-case basis.

Reporting | Main Report Page Changes + New Favorite Reports

This release kicks off the start of our report optimization objective! You will continue to see further report changes upcoming.

An initial change you can appreciate is the addition of report categories on the main report page to assist with more easily navigating through report options and identifying the best report for your analytical need. We have also included the ability to search by report title, and favorite your most commonly utilized reports for easy recall.

Feature Updates

Estimates | Hide Discount Column when No Discounts are Present

Our estimate print logic has been updated to not display the discount column and estimated discount row when no discounts are defined on the presented estimate. If a discount is included, the discount appropriate fields will be present on estimate presentation and print.

Estimates | Hide Internal Items from Estimate Print

Our existing setting to hide internal exclusive items from invoice print has been extended to also apply the same logic for estimate print. No product setting adjustments are needed to enable the new logic.

Estimates | Rx Items within Static Bundles

Items included on estimates through a static bundle can now individually be marked as a prescription or Rx item. When the approved estimate is transferred into the SOAP Plan, these Rx marked items from the static bundle will behave as other Rx marked items previously have. This means that all Rx marked items transfer into the Rx area of the SOAP regardless of being included in a static bundle on the estimate.

Multi-Location | Bulk Price Increase

Our multi-location bulk price increase features have been enhanced to better support increasing prices in bulk from the group platform. Based on multi-location configuration and shared settings, bulk price increase logic will appropriately respond to guide a user through available price increase change options.

Patient Service Reminder Color Coding Visibility Improvements

We have enhanced the existing patient service reminder color coding logic to now consider reminders coming due in the next 30 days in a yellow/orange color. This is designed to better support identifying reminders coming due shortly at a brief glance.

Rabies + Combo Vaccine Item Improvements

Combo vaccine items can now be indicated as Rabies vaccines as well simultaneously. This will ensure any vaccination events that are also Rabies vaccination administrations are included in the Vaccine report and recognized by the available Rabies vaccine filters to achieve more inclusive and accurate vaccine reporting.

Schedule | Ability to Navigate by Week

Our existing scheduling calendar page now offers the ability to navigate by week in addition to the previous day option. Near the date title of the calendar, you will now appreciate two new icons (<< >>) - these offer you the ability to move one week forward or backward.

Sunbit | Optional Verbiage

Within the Sunbit integration Card, you can now customize which notifications will include the Sunbit verbiage. For Appointment Notifications (Email and SMS), you can choose which appointment types should include this information. There are also options to include this information on Service Reminders and/or Estimates.

Sunbit | Email Payment Link

When selecting Sunbit as the Payment Method during Check Out, you now have the option to email the payment link. The primary email on file will automatically populate as default, but you will be able to edit/change the email prior to sending the payment link as needed.

User Profile | Support 3 Initials

Our user profile initials field has been optimized to support 3 instead of the previous 2 initials. This allows for additional user initial customization to more clearly identify user profiles at a glance throughout Shepherd.

Time Clock Improvements

  • You can now enter decimal values when adding hours for Time Off blocks.

  • When you close a pay period and export the summary of period hours, your custom "Time Off Types" will be listed separately.

  • Timesheets will now reflect decimal values for total hours.

  • When an administrator modifies an employee's timesheet, you must include a note explaining the changes made.

  • A new option under Time Clock > Settings allows you to "Alphabetize employees by first or last name" when exporting timesheets.

  • Once the Time Clock setup is complete, the Time Clock page will automatically default to the "Timesheets" tab.

  • A note will be displayed in the Clock In/Out modal, informing users of their last clock-in or clock-out time.
