Managing Multiple Tax Rates by Product

Add multiple tax rates to your clinic settings and assign them to specific products

If your regulatory agencies requires you to assess multiple different tax rates by product, you will want to utilize the 'Product' tax rate clinic setting.

Setting Up Multiple Tax Rates in Clinic Settings

To configure your product tax rate clinic settings, you'll first navigate there by following: Admin > Clinic Settings > Clinic Info > Select the edit pencil in the right corner of the shown clinic information.

Next scroll to the bottom of the clinic information to locate the Tax Settings area. Once you've located the Tax Settings area, you'll want to adjust the 'Tax Rate Based On' setting to "Product".

You'll now be shown a table to add and define your various tax rates. You can custom define the tax rate name and associated rate.

When you are finished defining your tax rates, you'll need to select the green Save button in the lower left-hand corner to retain your changes.

Assigning Tax Rates to Products

Once you've defined your tax rates under clinic settings, you can now assign them to your products. There are two workflows that you can use to assign your tax rates to the appropriate items.

Assigning Tax Rates Manually to Products

You can manually assign your tax rates to your products by navigating to: Admin > Products > Search for the item you wish to modify > Select the edit pencil on the far right to open the product details.

Once you are viewing the product details, you'll scroll to the Product Price area. Here you will have a checkbox available to mark a product as taxable. When tax is assed by product, you will additionally be offered a multiple selection menu to choose which tax rates are applicable.

Once you have completed all tax related modifications, scroll to the bottom of the page to select the Save button before navigating away.

Assigning Tax Rates using Bulk Edit

If you have a lot of products to assign multiple tax rates to, you can use bulk edit to make mass updates.

To access your bulk edit features, navigate to: Admin > Bulk Edit.

If you are not seeing the Bulk Edit option in your admin navigation menu, please contact the Shepherd Support Team for assistance using the chat feature in the lower right-hand corner of any page.

Once under Bulk Edit settings, select Products to begin working with your product list. You are initially shown a complete product list. You can use various filters to refine the product list displayed. Learn more about complete bulk edit feature usage in our Bulk Edit help guide.

After you've refined your item list to your preference, you will select the items you want to update and then the select the blue Bulk Edit button in the upper right-hand area of the page, to define the changes you would like to apply. No changes will be applied at this point in the workflow yet.

Along the left column of the prompt you will first be provided a drop-down menu with the types of fields you can update, and in the right-sided column you will be provided selection options for the types of changes you can make to the chosen field type.

When managing multiple tax rates in bulk, you will first want to ensure all chosen items are marked as taxable. This means you'll select 'Taxable' and then 'True' to enable tax for the chosen products.

Next, you'll select Add New Bulk Edit to add an additional modification. In this row you'll select 'Product Tax Rates' and then the tax rates you wish to assign.

Once you've defined these fields, select the Update Data button to see a preview of the changes. If all changes appear correct, you'll then select the green Apply Changes button in the upper right-hand corner to confirm your bulk changes. All products will be updated at this time.

Invoice Display

When multiple tax rates are assessed, you'll notice a row for each tax rate clearly present on your invoice user interface page, as well as the invoice print.

Reporting

Within any reports that provide sales tax transaction information, you will have separate rows provided for each sales tax rate.
