Merge Clients

Step-by-step instructions for merging client profiles.

Updated over a week ago

In an instance where you find duplicate client profiles (say, partners both bring in the same patient(s) and wound up with separate client profiles), you have the option to merge them.

Client Merge Definitions

Client 1 (or Primary Client) - This is the client whose settings and details will override in the completed merged profile. This client's Client ID, primary contact information, notifications settings, and more will carry over as the default settings of the merged profile. This is the client you'll select from the "Into Client" dropdown in the merge process.

Client 2 (or Secondary Client) - This is the client whose settings and details will be overridden once the merge is complete. This client can be added as the co-owner on the completed merged account if selected in the process.

Merge Two Client Profiles

You've discovered Tori Snyder and Brian Snyder have both brought their dog Bandu in for care and have separate client profiles in Shepherd. First, you'll merge the clients (then you'll merge the patients).

  1. Navigate to the Secondary Client's client profile. In this case, we'll locate Brian's Client Profile as Tori wants to remain the primary client.

  2. Click Edit where you'd edit the client's personal details and notification settings

  3. Select Merge Client

  4. From the "Into Client" dropdown, select the Primary Client (Tori)

Next, there are a few actions in the Merge Client Popup:

  • Change the "Into Client" (if you selected the wrong one on the previous page)

  • Merge Financials - Toggle on to combine both clients’ payments, invoices, and invoice line items

  • Add Client 2 as Co-owner - Toggle on to remove all current co-owners from the primary client's profile and add the secondary client as a co-owner in the merge

  • Swap Client 1 & Client 2 - Use the arrows to switch Client 1 to Client 2 and vice versa.

NOTE: Double-check your client merge selections! A client merge cannot be undone once completed.

The option to merge clients is based on user role permissions.

Once you click Proceed, you'll be prompted to type CONFIRM to complete the merge.
