Adding and Ordering IDEXX Services from a SOAP

We've made ordering an IDEXX service from a SOAP super simple: it's almost identical to adding a normal product or service to a patient's record—albeit with some IDEXX-specific steps that you'll be familiar with.

Any IDEXX services you order will be automatically added to the invoice associated with this record.

Here's what you need to do:

  1. Add/administer the IDEXX service to the Tx plan

  2. Order the IDEXX service

  3. Sync and see the results

    • (Shepherd automatically syncs the results every 15 minutes, but you can sync manually, if you want)

Adding and Administering an IDEXX service to a Tx plan

If you've added treatments to a patient's record, this part of the process will look familiar to you.

  1. Open the patient's active SOAP

  2. Navigate to the 'Plan' section

  3. Scroll to 'Order Treatments'

  4. Search for and select the IDEXX service you want to add

  5. Click the 'Add' button to add it to the Tx plan

  6. Click the 'Administer' icon

This will generate an IDEXX modal, which vary depending on if the service you ordered can be performed on an IVLS device or has to be sent out.


Tip: If you want to run multiple labs at the same time, administer them all by clicking down arrow (pink) > 'Administer Treatments' in the 'Order Treatments' section of the patient's plan. This ensures the labs will run at the same time.


Ordering IDEXX Services In-House

If the IDEXX service you ordered can be performed in-house on an IVLS device, you'll have two modals pop up in sequence. These modals allow you to:

  1. Select the in-house device

  2. Select the overseeing veterinarian

After you've selected the overseeing veterinarian, click the 'Order' button.

Ordering the IDEXX Services: Reference

If you need to send out for a service, you'll only have one modal appear: the vet selection/ordering modal.

After you've selected the overseeing veterinarian and ordered the treatment, a requisition will automatically generate in a new tab.

Print this requisition to send off with any samples.

Removing an IDEXX Service from a SOAP

If you need to remove the IDEXX service from a treatment plan:

  1. Open the SOAP

  2. Navigate to the Plan

  3. Open the Tx History

  4. Click the 'Undo' button on the right under actions

Note: you'll need to cancel this in VetConnectPlus, too.

Ordering an IDEXX Service Without the Integration

If you've already ordered an IDEXX Service in VetConnectPlus and want to make sure it's added to the patient's invoice, you're able to order services without using the integration.

To do that:

  1. Open the patient's active SOAP

  2. Navigate to the 'Plan' section

  3. Scroll to 'Order Treatments'

  4. Search for and select the IDEXX service you want to add

  5. Click the 'Add' button

  6. Click the 'Edit' icon under 'Actions' in the Tx plan

This opens the IDEXX service.

From here:

  1. Flip the 'Administer Without IDEXX Integration" toggle to the on position (see above)

  2. Adjust the priority and add additional instructions (if needed)

  3. Click 'Save'

  4. Administer the treatment in the Tx Plan

Sync and see the results

While result wait times will vary depending on which service you ordered, Shepherd syncs with IDEXX every 15 minutes. If a patient's results are in, those will automatically be updated in their SOAP during the next sync.

However, if you know the results are in and can't wait, you can also sync manually. You can do that from two places:

Sync and see from the dashboard

Once you've ordered a service, a new tab will generate on your dashboard called "Diagnostics."

To sync a treatment from the dashboard:

  1. Click the 'Diagnostics' tab

  2. Locate the service you want to sync

  3. Click the three dots on the right side of the service

  4. Select 'Sync' from the dropdown

Once the results have synced:

  • The status will update to "Completed"

  • The dropdown menu from the three dots will update with the following options:

    • View SOAP: Takes you to the SOAP where the service was ordered

    • View Results: Opens the results in a new tab

    • Download: Downloads the results, allowing you to email them to the client

  • The documents will automatically populate in the "Assessment" section of the patient's SOAP—in "Laboratory Documents"

Sync from a SOAP

If it works better to sync directly from a patient's SOAP (likely the case if you ordered in-house diagnostics):

  1. Open the patient's SOAP

  2. Navigate to the 'Assessment' section

    • Note: this is where any labs/services will be after they've been ordered

  3. Locate the lab/service in the 'Diagnostics' section

  4. Click the three dots on the right side of the service

  5. Select 'Sync' from the dropdown

Once the results have synced:

  • The status will update to "Completed"

  • The dropdown menu from the three dots will update with the following options:

    • View Results: Opens the results in a new tab

    • Download: Downloads the results, allowing you to email them to the client

  • The documents will automatically populate in the "Laboratory Documents" section below, where you'll be able to (by clicking on the three dots):

    • Download the results

    • Rename the document

    • Delete the results
