Postcards are a great tangible reminder communication tool for clients who prefer to not receive electronic communications. Shepherd supports two ways to prepare patient service reminders in postcard format.
Postcards can be generated and printed directly from within Shepherd or you can share a list with an external service, such as PostcardMania, to have them prepared for you!

Generating & Exporting a Reminder List from Shepherd
First navigate to the Reporting tab to generate a list of services reminders.
You'll select the report titled 'Reminders'.
Once you've generated the report and filtered the results accordingly, you'll select the action icon (three dots) in the upper right corner to download the reminder list in CSV format.
Don't forget to confirm your due date time range!
Review the Reminder List
Once you've downloaded the CSV file, you'll want to review the export details to ensure you're including the most relevant reminder data for postcard print.
Sort the Active Patient Reminder Rows
Shepherd does not send email notifications to deceased or inactive patients. However, because the reminder export is a complete list of all reminder data, deceased and inactive patient data is including in the download export. This means you'll want to remove any reminder rows related to inactive or deceased patients.
To do this you'll first sort the patient status column so the patient rows are grouped by status (active, deceased, inactive)
Next, you'll manually delete all patient reminder rows related to deceased or inactive patients.
Organize Patient Reminders
If a patient has multiple reminders, you'll want to organize these into a single relating row cell (green and pink)
Once you've organized the multiple reminders into a singular patient row and title cell, delete the rows where you relocated the data (orange)
Postcard Designs
To create a new account or new postcard design using PostcardMania, navigate to our dedicated page.
If it's your first time using this service, you'll need to create a new account first. But, if you already have an account, you can log in to use your previous designs. Once you've created your account or logged in, you'll be able to design your postcards.
To design your postcard
Select the postcard size
Choose how many you want to send
Click 'Choose a Design'
Once you've selected your design
Choose "Veterinary Appointment Reminders"
Pick the design you want to customize
Click "Personalize Now"
Depending on which design you choose, specific steps and options will vary.
Regardless of which template you choose, you'll be able to personalize:
Campaign options (clinic logo and/or imagery)
The front and back of your postcard
Upload Your Reminder List
Once you've prepared and finalized your postcard design, you will upload your previously prepared reminder CSV file.
PostcardMania only supports .csv and .xlsx files
Review and Approve
After uploading your reminder list into your prepared designs, you will review your proof and approve the order.
Complete Payment
The homestretch! With everything buttoned up, all you'll need to do is put in your payment information. Then these reminders will be off post haste!
Client Reminder Communication Preferences
If you're appreciating certain client profiles are not including in your reminder list, verify the reminder communication preferences defined on the client's profile. There are two options available:
Email Reminders: Enables the client to receive automatic patient service reminders via email
Postcard Reminders: Enables the client to receive patient service reminders via postcard
