What You Need to Know
Dashboard presence is controlled by SOAP status, not by check-in or checkout status.
A patient remains on the dashboard until their associated SOAP is locked or closed. Checking out a patient without locking the SOAP will not remove them from the dashboard.The Diagnostics tab is a running log, not a task list.
Completed diagnostics do not auto-clear when reviewed. Use filters and the Mark as Read action to keep the list manageable over time.Denied Rx Refill Requests must still have Complete Refill selected to leave the queue.
Denying a request alone does not remove it from the Rx Refill Requests tab. Completing a denied refill will not add charges to the patient's account or reduce their remaining authorized refills.When a column filter is active, a yellow alert appears on the dashboard.
If patients or items appear to be missing, check for an active filter before assuming something is wrong.The Charges Complete invoice status places a green dollar sign on the patient's dashboard row and a Checked Out client has a black check mark.

Dashboard Overview
The dashboard is divided into tabs across the top of the screen, each representing a distinct patient or task category. Tabs with a colored badge show a live count of items currently in that category. The dashboard does not automatically refresh — use the circular refresh icon in the top right to update the view manually.
The Assigned to Me button (top right of patient tabs) filters the dashboard to show only patients assigned to the currently logged-in user. Column headers can also be used to sort and filter within any tab. When a column filter is active, a yellow alert appears on the dashboard indicating the view is narrowed.
Dashboard tabs and columns cannot be customized. Adding new tabs, reordering columns, or adding a free-text column is not currently supported.
Dashboard Tabs
Active Patients
The Active Patients tab shows all patients with a SOAP currently in Active status. A patient appears here as soon as a SOAP is opened and remains until the SOAP status changes or the SOAP is locked.

Location
The Location column reflects where the patient physically is during the active visit — for example, Exam Room 1, Treatment Area, or ICU. It is not a permanent record and does not persist after the SOAP is locked.
Charges Complete
After auditing a patient's invoice, changing the invoice status to Charges Complete adds a green dollar sign to that patient's row. This is a useful front desk signal that visit charges are finalized and the client is ready for checkout.
In Review
The In Review tab shows patients whose SOAP has been moved to In Review status. This is typically used when a doctor has completed their notes and the record is awaiting final review before being locked.

What controls presence
SOAP status set to In Review. To move a patient back to Active Patients, change the SOAP status to Active. To remove them from the dashboard entirely, lock the SOAP.
Lab Pending
The Lab Pending tab shows patients whose SOAP has been moved to Lab Pending status. Use this status intentionally when waiting on outside or reference laboratory results — similar to placing a paper chart in a lab basket so it is not overlooked.

What controls presence
SOAP status set to Lab Pending.
To keep dashboard indicators meaningful, mark old unread lab results as Read once they have been reviewed. This ensures the dashboard badge only reflects new, unreviewed results. Consider creating an automatic task tied to the lab product to remind the doctor to follow up on pending results.
Boarding
The Boarding tab shows patients currently in an active boarding stay. The Location column reflects the patient's kennel, run, or stall assignment for the duration of their stay.

Rx Refill Requests
The Rx Refill Requests tab shows all incoming prescription refill requests and their current status. Requests arrive with a Requested status and move to Approved or Denied after a doctor reviews them.

What controls presence
Requests remain in the queue until Complete Refill is selected. This applies to both approved and denied requests. Completing a denied refill will not add charges to the patient's account or reduce their remaining authorized refills.
Reviewing a request
Click the chevron to the left of any row to expand it. The expanded view shows prescription details including Rx #, Prescription Type, Quantity Dispensed, Refills Remaining, Original Refill Date, Rx Valid Thru, Last Refill Date, Directions, Prescribing Doctor, and Notes.
Requested status actions
Approve Refill, Deny Refill, Cancel Refill. All three trigger a confirmation prompt asking whether to notify the client via email or SMS. A note is required when denying or cancelling a refill; no note is required when approving.
Approved and Denied status actions
Complete Refill, Cancel Refill. Approved requests also display a Print Label button. Selecting Complete Refill removes the request from the queue.
Today's Appts
The Today's Appts tab shows today's scheduled appointments in a card layout. Each card displays the appointment time range, status (such as Upcoming), the patient's name, the client's name, the assigned doctor, and the reason for visit. This tab does not display a badge count.
A message at the top of the tab indicates whether there are any pending pet portal check-ins.
Starting a SOAP from Today's Appts
Click the blue + icon next to a patient's name to open a dropdown and select either Comprehensive SOAP or Quick SOAP.
Filters:
Search for a provider (top left) — filters appointments by provider
Show Past Appts toggle (top right) — expands the view to include earlier appointments from the same day
Diagnostics
The Diagnostics tab is a running log of all diagnostic orders placed through Shepherd's integrations. It is organized into two sub-tabs:
Lab Integration — reference and in-house lab orders
Imaging Integrations — radiology and imaging orders
The Diagnostics tab does not function as a task list. Orders do not auto-clear when completed or reviewed. Use filters and the Mark as Read action to manage the list over time.

Managing the Diagnostics list:
Filter by Integration and by Status to narrow the list to the records you need to act on.
Click the three-dot Actions menu on any record. Available actions differ by sub-tab:
Lab Integration actions: View SOAP, Print, Sync, Cancel, Delete, Mark as Completed
Imaging Integrations actions: View SOAP, View Images, Submit, Cancel, Delete, Mark as Completed
To take bulk action on either sub-tab, select records using the checkboxes and use the Delete, Mark as Read, or Mark as Unread buttons in the top right.
A pink dot on either the Lab or Imaging Integration sub-tabs — or on an individual row — indicates results that have not yet been read or viewed.
Frequently Asked Questions
Why is a patient still on my dashboard after their visit?
A patient remains on the dashboard as long as their SOAP is open, regardless of whether they have been checked out. To move a patient to a different tab, change the SOAP status to In Review or Lab Pending. To remove them from the dashboard entirely, lock or close the SOAP.
Why is there a yellow alert on my dashboard?
A yellow alert on the dashboard means an active column filter is currently applied and the view is narrowed. If patients or records appear to be missing, check whether a filter is limiting what is shown and clear or adjust it to restore the full view.
How do I clear a denied Rx Refill Request from the queue?
Denied refill requests are cleared from the Rx Refill Requests tab the same way approved requests are — by selecting Complete Refill. Denying a request alone will not remove it from the queue. Completing a denied refill will not add charges to the patient's account or reduce their remaining authorized refills.
Why does the Diagnostics tab still show completed or old results?
The Diagnostics tab is a running log of all diagnostic orders placed through Shepherd's integrations over time. Completed diagnostics do not auto-clear. To manage the list, select records and use Mark as Read, or filter by Status to focus on records that still need attention.
