Inventory Expiry Report

Displays inventory items by expiration date to help clinics monitor stock, reduce waste, and proactively manage expiring products.

Purpose

The Inventory Expiry Report provides a centralized view of inventory items with expiration dates, helping clinics proactively manage stock, reduce waste, and improve forecasting.

This report is available for both lot-enabled and non-lot clinics. It ensures visibility into upcoming expirations regardless of lot tracking status.

Permissions

Access requires the Inventory Expiry Report permission under:
Admin > Users > User Roles > Reporting


Filters

Description

Expiring In - Minimum Range

Defines the lowest boundary (in days from today) for lot expiration dates. Default is 0 days.

Expiring In - Maximum Range

Defines the highest boundary (in days from today) for lot expiration dates. Default is 60 days.

Show Expired Lots (toggle)

When enabled, lots with expiration dates prior to today are displayed in the Expired tab.

After selecting filters, click View Report. Use Clear to reset all selections.

Expiring In Range Logic

  • Minimum value must be less than or equal to the maximum value.

  • Maximum value must be greater than or equal to the minimum value.


Report Tabs

The report contains three tabs:

  • Active Stock - Displays lots that fall within the selected expiration range.

  • Expired - Displays lots with expiration dates prior to today when Show Expired Lots is enabled.

  • No Expiration Date - Displays inventory items without an expiration date.

Report Columns

Column

Description

Item Name

Name of the inventory or product associated with the expiration.

QOH

Quantity on hand for the lot. Hidden for non-lot clinics.

Lot Expiration Date

Expiration date of the lot in mm/dd/yyyy format.

Expires In

Number of days from today until expiration.

Lot Serial Number

Serial number associated with the lot.

Lot Number

Lot number identifier.

Bottle Number

Bottle number identifier if applicable.

Manufacturer

Manufacturer of the item.

All columns support sorting and filtering.

Expires In Color Coding

  • Red - 0 to 30 days and expired

  • Yellow - 31 to 60 days

  • Grey - 61 to 120 days

Rows are automatically sorted by expiration proximity:
Expired first (if enabled), then ascending by days remaining (1 day, 10 days, etc.).


Special Behavior by Clinic Type

Lot-enabled clinics

  • All inventory items reference lot-level expiration data.

Non-lot clinics

  • Controlled and vaccine products reference lot information.

  • Other inventory items are displayed without lot-level quantity tracking.


Export Options

  • View Report - Generate the interactive report.

  • Download (PDF/CSV) - Export the full report.

  • Table Specific CSV Download - Export the visible table only.


Tips for Use

  • Use narrow day ranges (e.g., 0-30) for urgent restocking or discount planning.

  • Enable Show Expired Lots regularly to prevent compliance or storage issues.

  • Review the No Expiration Date tab to identify products missing critical data.

  • Sort by Expires In to prioritize immediate action items.


FAQs

Why are some items missing from the report?
Only active lots are referenced when filtering expiration ranges.

Why is QOH hidden?
The QOH column only appears for lot-enabled clinics.

Why are expired lots in a separate tab?
Expired items are isolated to support clearer operational review and compliance monitoring.
