Reports are a critical way to gain a high level view of inventory in your practice—and when it's (not) being used.

Inventory Reports

Inventory is both a huge cost for a veterinary practice and a huge opportunity to make that practice profitable. That doesn't mean gouging your clients and charging exorbitant fees—lots of times, it just means analyzing how and when your practice uses the products you stock.

Our inventory reporting tools give you everything you need to know to leverage that information to optimize and support your clinic's inventory needs.

Reporting for inventory can be found in 2 places.

Admin>Inventory

  • Inventory Status

    • (on this report, you can also filter to view items below/at the reorder point)

Reporting

  • Inventory Items Below or at Reorder Point

  • Inventory Items Sale/Usage

  • Inventory Items

  • Inventory Single Item

Inventory Status Report

For a quick glance at where the items on your shelf currently stand, this report will come in handy. This is an easy way to see a list of all items currently being tracked within Inventory, as well as the current quantity on hand.

With this report, you will also be able to:

  • Filter to show the items that have hit their Reorder Point (under options)

  • Filter to show the items that are under their MIN Quantity

  • Filter to show items that are over their MAX Quantity

If you're tracking lots and expiration dates in your inventory management tool, you'll have an extra column showing the expiration date of your oldest lot. If the date has passed and the inventory is expired, you'll see the date in red. If multiple lots exist for that item, you'll see a number next to or below the date depicting the quantity that has expired.


Inventory Items Below or at Reorder Point

If you're looking for a quick view of all items that have met their Reorder Point, this report under your reporting tab makes it quick and easy.

This report does not display items with an empty or 0 value reorder point

Inventory Sales/Usage Report

If you’re looking to gather a holistic view of how your practice uses products, then this is what you need. Here you'll find everything from costs and markups to quantities in one place.

  1. Input the date range

  2. Pick the format for the report

    • In Shepherd: select 'Generate Report'

    • CSV: select 'Download'

Inventory Items Report

Use this report to view/export all of the data pertaining to the settings of your inventory items. This is the information you would get by entering each inventory items edit page individually, but combined into a single view.

  1. Select if you want the report for Active items only, Inactive Items only, or all Items

  2. Select Create Report to view in Shepherd or download a PDF or CSV file to manipulate the data

Inventory Single Item Report

If you’re looking to do a deep dive into a single item or a few specific items, this report has it all.

  1. Search for and select the item or items from the dropdown

  2. Input the date range

  3. Pick the format for the report

    • In Shepherd: select 'Generate Report'

    • CSV: select 'Download'

Among other things, this report allows you to see:

  • Each time a specific product was administered

  • Who administered it

  • To whom it was administered

  • What kind of transaction it was

  • The invoice/SOAP associated with each administration
