Purpose
The Referral Source Report analyzes referral source assignments at both client and patient levels, helping evaluate referral engagement and business growth. Use this report to understand which sources contribute most to client and patient acquisition, monitor referral trends, and track associated revenue.
Filters
Filter | Description |
Time Period (Required) | Choose from predefined ranges (e.g., This Month, Last Month) to limit report data to estimates created or expiring within the selected timeframe. |

After selecting filters, click View Report. Use Clear to reset all selections.
Report Tabs and Columns
Overview
Displays an overview of referral source activity within the selected time period.
Analytics tiles:
The Top 5 Referral Sources for the selected time period.
Column | Description |
Referral Assignment Date | The date the referral source was assigned to the client or patient. |
Referral Source Name | The name of the assigned referral source. |
Client Full Name | The full name of the client. |
Client ID | The unique ID for the client. |
Patient Name(s) | The full name of the patient if the referral source is assigned at the patient level. |
Patient ID(s) | The unique ID for the patient if the referral source is assigned at the patient level. |
Client & Patient Growth
Provides insight into how referral sources contribute to new client and patient creation.
Analytical Tiles:
Total New Clients from Referral Sources: represents the sum of new client profiles created and had a referral source assigned for the full duration of the specified time period.
Total New Patients From Referral Sources: represents the sum of new client profiles created and had a referral source assigned for the full duration of the specified time period.

Referral Source Name | The name of the assigned referral source. |
Total Clients | Total number of client profiles with the referral source assigned. |
New Client | Number of newly created client profiles assigned to the referral source within the report time period. |
Total Patients | Total number of patient profiles with the referral source assigned. |
New Patients | Number of newly created patient profiles assigned to the referral source within the report time period. |
Revenue Insights
Shows financial performance tied to referral sources. Sales totals and included referral sources adjust based on the selected Assignment Type filter and time period.
Analytical Tiles:
Total Revenue From Referral Sources: The sum of total sales column across all referral sources.
Top Revenue-Generating Referral Source: The highest sale/revenue generating referral source.
Average Sales per Referred Client: The total of revenue/sales divided by the number of clients assigned a referral source.
Total Invoices: The total of number of invoices tied to referred clients or patients.

Referral Source Name | The name of the assigned referral source. |
Total Sales | The sum of all invoice amounts linked to clients or patients with the referral source assigned. |
Total Invoices | The total number of invoices linked to clients or patients with the referral source assigned. |
Avg. Sale Per Client | Average sales per client (total sales ÷ total invoices). |
% Of Total Revenue | The percentage of overall clinic revenue represented by each referral source. |
Referral Source Directory
Lists all referral sources configured in Admin → Practice Management → Referral Sources.
Advanced filter selections do not affect the displayed Referral Source Directory results. Use column filtering to further refine the displayed data.

Referral Creation Date | The date the referral source was created in Admin settings. |
Referral Source Name | Name of the referral source. |
Referral Source Email | Email address of the referral source. |
Referral Source Phone Number | Contact phone number for the referral source. |
Description | The description entered for the referral source. |
Export Options
View Report – Displays the data directly in Shepherd.
Download (PDF/CSV) – Exports a complete copy of all report data.
Table-Specific CSV Download – Exports only the currently visible table.

Use the Assignment Type filter to compare trends between client- and patient-level referrals.
Track the Top 5 Referral Sources to identify which partnerships drive the most engagement.

FAQs
Why is my report blank?
Make sure your date range includes the referral assignment dates. Also confirm that clients or patients have a referral source assigned in their profiles.
Why don’t my tiles match my table results?
Analytics tiles calculate data only by time period. Other filters do not apply to tile values.
How is revenue divided when multiple referral sources are assigned?
Revenue is split evenly across all referral sources assigned to the client or patient.
Why are some patient fields blank?
If a referral source is assigned only at the client level, patient fields remain blank.
Why don’t my advanced filters affect the Referral Source Directory tab?
The Directory tab is designed to display all configured referral sources. Use column filters to narrow the view.
