Purpose

The Revenue & Cost Overview Report provides a simplified Profit & Loss snapshot of your clinic’s financial performance. It consolidates revenue, cost of goods sold (COGS), and profit into a single report so you can evaluate business health without referencing multiple reports.

Description

Time Period

Select a predefined date range: Today, Last 7 days, Last 30 days, This Month, This Quarter, Last Month, Last Quarter, This Year, or Last Year. Custom ranges are not supported.

After selecting filters, click View Report. Use Clear to reset all selections.


Report tabs and columns

Profit Analysis

This tab provides a high-level financial snapshot with metric tiles and visual charts.

Metric tiles

Column

Description

Revenue

Sum of Service Sales and Inventory Sales.

Service Sales

Revenue generated from non-inventory items.

Inventory Sales

Revenue generated from inventory-linked items.

COGS

Total cost of sold inventory items.

COGS %

Calculated as (COGS ÷ total revenue) × 100.

Profit

Revenue minus COGS.

COGS% is calculated by dividing Cost of Goods Sold by total revenue, including services and inventory sales. It may be influenced by bundle configurations, inventory timing, and laboratory pricing. This value reflects limited available data and does not represent a complete financial picture. Refer to your financial system for a more comprehensive view that includes a broader range of revenue and expense categories.

Sales Overview

Displays total Revenue with a visual breakdown of Service Sales and Inventory Sales.

  • Includes metric tiles for Revenue, Service Sales, and Inventory Sales

  • Horizontal stacked bar chart with legend

  • Color coding: Revenue (Dark Green), Service Sales (Medium Green), Inventory Sales (Light Green)

Profit Overview graph

Displays Revenue, COGS, and Profit in a visual comparison.

  • Includes metric tiles for Revenue, COGS, and Profit

  • Horizontal stacked bar chart with legend

  • Color coding: Revenue (Medium Blue), COGS (Light Blue)

For multi-site groups, graphs reflect the selected clinic’s data.


Bundle Sale Analysis

Provides financial performance details for bundled services and products.

Column

Description

Bundle Name

Name of the bundle, Static or Standard.

Bundle Type

Indicates whether the bundle is Static or Standard.

Qty Invoiced

Number of invoicing events that included at least one item from the bundle.

Total Sales

Total revenue generated from items within the bundle.

COGS

Total cost of inventory items sold within the bundle.

Profit

Total Sales minus COGS.

Columns support sorting where available in the table view.


Reference Lab Sale Analysis

Displays revenue and cost performance for external reference lab items.

Column

Description

Lab Item Name

Invoiced external lab code.

Reference Lab

Name of the integrated laboratory.

Qty Invoiced

Number of invoicing events for the lab code.

Total Sales

Total revenue generated from the external lab code.

COGS

Cost calculated using the lab code list price.

Profit

Total Sales minus COGS.

Any external reference lab codes that are invoiced as part of a bundle will also be reflected within the associated bundle's sales metrics.

If override list pricing is active and no list price exists, COGS displays as $0.

Columns support sorting where available in the table view.


Footer totals

Bundle Sale Analysis and Reference Lab Sale Analysis include a summary row totaling:

  • Qty Invoiced

  • Total Sales

  • COGS

  • Profit


Export options

  • View Report to generate results based on selected filters

  • Download PDF to export a formatted version that mirrors the on-screen layout

  • Download CSV to export tabular data structured to closely match the table view

Exports reflect the currently selected tab and applied filters.


Tips for use

  • Use the predefined time ranges to quickly review month-to-date or quarter-to-date performance.

  • Compare Service Sales and Inventory Sales to evaluate revenue mix.

  • Monitor COGS and Profit trends to assess pricing strategies and inventory management.

  • Review Bundle and Reference Lab tabs to identify profitability drivers at a detailed level.

  • For complete financial reporting beyond revenue and inventory costs, reference your accounting system.


FAQs

Does this report replace a full Profit & Loss statement?
No. This report focuses on revenue, inventory costs, and profit within Shepherd. It does not include operating expenses or non-inventory costs.

Why might COGS % not match my accounting system?
COGS % reflects available inventory cost data in Shepherd and may differ due to timing, bundles, lab pricing, or external expenses not captured in the system.

Are bundle lab items counted twice?
External lab codes invoiced within bundles appear in both the Bundle Sale Analysis and Reference Lab Sale Analysis for transparency.

Can I select a custom date range?
No. Only predefined time periods are available.

Who can access this report?
Access depends on the Revenue & Cost Overview Report permission within User Roles under Reports.
