Quick SOAP simplifies short visits in Shepherd with a streamlined workflow, fewer fields, and the option to convert to Comprehensive SOAP.

Purpose

Quick SOAP is a streamlined alternative to the Comprehensive SOAP, designed for short, low-complexity visits where minimal documentation is required. While Comprehensive SOAP remains best for thorough evaluations, Quick SOAP simplifies brief encounters with fewer fields and a single-page workflow. This helps reduce frustration, keeps patient histories cleaner, and makes short visits easier to manage.


Setting the Default SOAP Type

Each appointment type in Shepherd can be assigned a default SOAP type. This ensures the correct workflow opens automatically when a patient is checked in.

Comprehensive SOAP

Full exams, diagnostics, treatment planning (default for new appointment types).

Quick SOAP

Rechecks, tech visits (nail trims, anal glands, blood draws, etc.)

SOAP Type Selection at Check-in

Prompts users to choose between Comprehensive or Quick SOAP each time.

To Set the Default SOAP Type

  1. Navigate to Admin → Scheduling → Appointment Types

  2. Select the Appointment Type you wish to edit

  3. Choose a Default SOAP Type from the options above

  4. Click Save


Quick SOAP Layout

Quick SOAP uses a vertical, single-page layout with a floating navigation header for fast scrolling.

Summary & Vitals

  • SOAP Title, Location, Supervising Doctor, Assigned User

  • Standard vitals entry

Visit Notes

  • Free-text notes field

  • Add additional notes with +Add Note

Attachments (collapsed by default)

  • Laboratory

  • Imaging

  • Documents

  • Forms

Treatments

  • Order Treatments (same as Comprehensive SOAP)

  • Tx History (collapsed view)

Invoicing

  • Invoice summary with total displayed at the bottom

  • View Invoice button links to the standard invoice workflow


Quick SOAP Action Menu

Located to the right of the SOAP summary header, Quick SOAP includes the standard 3-dot action menu with:

  • Convert SOAP

  • Export Quick SOAP

  • Export Documents

  • Email Quick SOAP

  • Print Cage Card

  • Edit Check-In Time

  • Delete Quick SOAP

Permissions follow the same rules as Comprehensive SOAP.


Converting Quick SOAP to Comprehensive SOAP

If a visit starts as a Quick SOAP but needs full documentation:

  1. From within the Quick SOAP, open the action menu (3 dots)

  2. Select Convert SOAP

  3. A confirmation modal appears:

    • “You’re about to convert this visit from Quick SOAP to Comprehensive SOAP. All existing entries will be transferred into their corresponding fields. This action cannot be undone. Would you like to proceed?”

  4. Select Convert to Comprehensive SOAP or Cancel

Conversion details:

  • Visit Notes transfer into the Treatment Notes area of Comprehensive SOAP

  • All other entries map to their standard Comprehensive SOAP fields

  • Action is logged in the SOAP activity log

A Comprehensive SOAP cannot be to a Quick SOAP


Best Practices

  • Use Comprehensive SOAP for full exams, diagnostics, and treatment planning.

  • Use Quick SOAP for rechecks, tech visits, or visits that don't require a full physical exam.
