Introducing Shepherd's TranscribeAI

Meet your newest digital companion!

This innovative tool assists veterinary professionals in completing patient records and SOAP notes with ease through dictation by transcribing spoken observations and client conversations into text. TranscribeAI will capture full ambient conversations, meaning two-way, to identify any relevant patient medical details, omitting all other non-related components. In real-time, TranscribeAI will parse recorded audio into suggested SOAP note summaries, saving you time by reducing the effort required to complete your patient visit notes!

What can TranscribeAI Recognize?

Your newest AI companion is capable of recognizing a wide-variety of patient information, and visit details, including:

  • Patient presenting complaint, history, and current medications

  • Patient weight and vitals

  • Patient assessment, prognosis, and treatment plan

  • Physical Exam Templates

  • Discharge instructions, plus additional note fields!

Data protection & Privacy of TranscribeAI

Rest assured that any audio and information captured by TranscribeAI is handled securely and with the utmost confidentiality. Audio files are transmitted to a 3rd-party service for AI transcription processing. All transcribed data is encrypted and stored within our protected servers, ensuring compliance with privacy regulations. Information is seamlessly integrated into existing patient medical records within Shepherd, accessible only to authorized users with appropriate permissions. Your client and patient privacy and security are our top priorities, and we're committed to maintaining the highest standards of data protection throughout the entire process.

Enabling TranscribeAI Features

You will need assistance from a Shepherd team member to enable TranscribeAI features for your account.

As a Reminder:

Always ask for consent and permission before recording conversations.

Setting up your Microphone

Depending on your device and browser's microphone settings, you may need to approve microphone usage before using TranscribeAI within Shepherd.

TranscribeAI does have a built in audio device modal to assist with testing your audio before usage. It can be accessed via the settings icon in the upper right-hand corner of the recording modal.

A microphone or hardware that can capture audio is required to utilize TranscribeAI features.

Once your device is ready to record, you can start the TranscribeAI recording with one simple click on the microphone icon that is conveniently available in the lower right-hand corner of any SOAP page. You do not have to be on any specific page to capture appropriate and relevant transcriptions! AI will handle contextualizing captured audio to propose summaries within their appropriate fields.

Once selected, it will open the recording prompt and begin your recording automatically.

Recordings can be paused throughout a conversation as needed, or stopped entirely to end the recording and review the transcription summaries. Transcriptions may take 30 seconds to a minute to fully generate.

Using Pause and Stop Actions

If you need to temporarily pause the recording session, the parallel line icon located on the left within the modal will temporarily discontinue recording. Selecting the same button, now previewing as a play icon, will resume the recording session.

Selecting the square stop icon located on the right within the modal will end the recording session. You will be prompted to confirm you are concluding your recording for the present time, and the recording duration will be visible for reference.

TranscribeAI does recall the previous recording session if a user is to navigate away from the SOAP or browser tab during an active recording. However, it is recommended to review any transcription text as soon as possible after recording to ensure no data is ever lost accidentally.

Verify the Transcription Summaries

During the recording session

During the recording session you can verify text from the captured transcription text at any time by selecting the robot icon in the lower righthand corner of the transcription window. A red icon is available indicating the number of new fields text has been captured for to review.

At the conclusion of the recording session

Once the recording session is ended, you will have an opportunity to review TranscribeAI's proposed transcription text. By default, TranscribeAI will propose combining any existing text of a text field with the new transcription text. A horizontal line will appear in between each separate text entry. If multiple TranscribeAI sessions are used within a single SOAP, each new text entry will again be separated with a dividing line. Each SOAP field can be updated individually.

To switch between the transcribed proposed text and any manual text, select the yellow circular arrow icon.

If a SOAP field is not offered within the verification modal, presently TranscribeAI cannot capture text or a value for that field. Clinic shortcuts and manual text can be added in addition to proposed TranscribeAI values so you are able to update your notes in one review!

TranscribeAI also interacts with Physical Exam Templates so you can include a single Physical Exam Template per recording event.

Multiple individual recording sessions can be completed for each SOAP. Each new recording is user specific, and needs to be initiated by the new recording user. At the conclusion of each session, you will be prompted to confirm which fields of the SOAP you'd like to update with newly summarized text.

Navigating away from the SOAP and the recorded session without verifying changes could result in a loss of the transcribed text suggestions. You will be prompted to confirm if you would like to navigate away from an in progress session.

Transcription History

TranscribeAI transcription text can be viewed from two locations in Shepherd.

The first being while reviewing the recorded session from within the SOAP. You can navigate between the SOAP field review screen and the transcript text by selecting the appropriate option at the top of the verification modal.

The second being from the user profile of the recording user. To access the user profile saved transcript text, select the user name in the lower left-hand corner of any page, and then select My Profile. You'll appreciate a separate tab titled Transcripts where all TranscribeAI text transcripts are saved.

Hardware & Devices Supported

TranscribeAI can be used with any device that can capture audio. This includes mobile devices, tablets, ear buds, and laptops.

Some devices are more sensitive to capturing background noise which may interfere in the clarity of the audio which TranscribeAI can dictate from. If you are finding a lot of interference in your transcriptions, please try utilizing an alternative device or reducing background noise if possible.
