Direct booking in the pet portal, Beta integration with VerticalVet, declined treatments in a SOAP, and more!

Pet Portal Direct Booking

Save time on the phone while maintaining control over your schedule - Introducing…Shepherd Direct Booking! This feature allows you to select which appointment types and providers are available for clients to book directly through the pet portal. You can choose if appointments are booked directly to your schedule or require approval to confirm appointment bookings. Direct booking is available for your existing clients only at this time. Additional direct booking features will be added in the future!

Reminder: Forms Templates

Don’t forget! You can create custom forms under Forms > Create New in your Shepherd menu. Alternatively (or in addition to), we have a series of standard form templates we can add to your account if you don’t already have them! Ask your account manager if you’d like them added.

Invoices and Receipts

Invoices and Receipts have been standardized and optimized to provide a clearer visual on the status of the client’s invoice and account balance. View the total of previous payments on an invoice in addition to the current charges in the transaction that generated the invoice. Any existing credits are now accurately reflected in the Account Balance listed on the invoice and the amount paid to the credit balance in the current transaction is now included on the invoice.

The Invoice export for a transaction where a single payment was applied to multiple invoices will have a transaction summary section, detailing the total paid to each invoice and total, if any, applied to the credit balance in the transaction.

Receipts now show a clear and complete allocation of a payment to an invoice, multiple invoices, and/or credit balance. Cash Invoices will show a cash received total and a change due total.

Decline Treatments in SOAP

You can now decline treatments in a SOAP for products added to the treatment plan. Use the ‘X’ icon to apply the ‘Declined’ status to the treatment. When a treatment is declined, it will remain on the patient’s SOAP Tx plan and in the patient history section of the patient record, differentiated with a ‘Declined’ indicator. Viewing declined treatments on the invoice is an optional setting on a product level. In the General Settings section of the Product Edit page, check the applicable box to have the product included on the invoice even when declined in the Tx plan. This feature provides clarity for your clinic and your clients on the proposed Tx plan compared to the administered plan.

Included on Invoice if Declined’ is a product setting that can also be mass updated in Bulk Edit. Check with your Account Manager if you need bulk edit enabled for your clinic or have questions on how to update this for your products.

Diagnostics

On the diagnostics tab of your dashboard you can now mark diagnostics read or unread manually, plus make mass changes to the read/unread status of diagnostics using the checkboxes to select all or multiple diagnostic results. A delete option has been added, allowing the deletion of some or all orphaned diagnostic results.

Lab results linked to a patient/SOAP cannot be deleted. The option will only be enabled for orphaned results.

Forms

  • Date Created

    • The date the form was created will now be included on the PDF export below the form title

  • Archive Responses

    • Archive completed forms on the forms tab of your Shepherd menu

    • Manage Forms permissions is required to archive responses

  • Edit After Submission

    • Edit SOAP Forms permission: This new permission allows users with the permission in their role to edit internal forms after they’ve been submitted by the clinic

    • Only forms created after release of this feature can be edited. Old/existing forms cannot be edited.

  • Send Linked Form When Changing Appointment Type

    • You can now send forms via email when changing the appointment type on an already scheduled appointment when the new appointment type has linked forms

Reporting

  • Prescription Report: The Rx Status, Expiration Date, and Last Refill Date have been added as new columns to the Prescription Report and exports.

Diagnoses

  • In Admin > Diagnoses

    • Mass Update: Update diagnoses status’ in bulk using multiselect/select all checkboxes

    • Has Discharges: View if a diagnosis has discharges or not in a new column on the diagnoses table

  • In a SOAP

    • When selecting from the list of diagnoses in the A tab of a SOAP, diagnoses with discharges will have a “(With discharges)” differentiator in the dropdown, allowing clinic users to have greater visibility selecting the proper diagnosis. This differentiator is only used here in the SOAP and does not appear on any client-facing exports or records.
