Updates include manually adjusting invoice line-item prices, the Appointment Schedule redesign, Automatic Product Discounts, and more!

Invoices | Manually Adjust Line-Item Price

Users with a role that includes the Invoice - Adjust Price permission can now manually adjust an invoice line-item's price directly on the invoice. Manually adjusting the price of a product or service will override product price settings including dispensing fees and minimum price. Any % discounts will be recalculated based on the new price and product returns will be calculated by Price/Quantity.

All Admin and Practice Owner roles have this permission by default. Users with User permissions can grant access to the Adjust Price permission for other roles.

Schedule Redesign

Both the Appointments Schedule and the Boarding Calendar have undergone some exciting optimizations!

Appointments Schedule

  • Settings: Schedule view settings are now featured in a cog (gear) icon to the right of the date at the top of the calendar.

  • Available Timeslots: View and select available timeslots per provider when scheduling and appointment.

  • Custom Time Increments: View and use your calendar in your selected time increment. This can be set by a Practice Owner or Admin under General Clinic Settings in your Admin menu. Options include 5, 10, 15, 30, or 60 minutes.

  • Full Screen Mode: Select the Full Screen icon to hide the Shepherd Menu and view your appointments schedule in full screen mode.

  • List View: Select the List View icon to view a chronological list of appointments broken down based on the criteria you have selected (Provider, Day, Week).

  • Appointments Counter: There is a daily appointment counter under the Schedule page title which will display the total number of (non-cancelled) appointments for the day. There are provider-specific and day-specific appointment counters as well depending on your view of the appointments schedule.

Remember: your user-specific appointment schedule view settings will save as you navigate through Shepherd now!

Boarding Calendar

  • Settings: Calendar view settings are now featured in a cog (gear) icon to the right of the date at the top.

  • Clinic Closure Block: The Boarding Calendar will display Office Closure Blocks on the calendar when the clinic will be closed for the whole day. For partial closures, users will see a notice when scheduling an appointment if the check-in or check-out time coincides with the closure timeframe.

SOAP Updates

  • Physical Exams: You now have more options when selecting a physical exam in a SOAP. Update the date and timestamp and supervising doctor before and/or after selecting a PE template. View or edit the PE Title while completing or editing the Exam.

Automatically Send Forms

  • Send Forms by Appointment Type: Your team can now save valuable time when scheduling appointments by linking forms to be sent to clients automatically! Select which appointments types you want to be sent when creating or editing a form. When scheduling an appointment type with a linked form, a hyperlink to the form will be automatically sent to the client via email. Pending forms and completed form responses will populate in the client & patient profiles like you're used to.

Automatic Product Discounts

  • Default Product Discount: Add a Default Product Discount ($ or %) to any product which will be automatically applied to the invoice when the product is added. The Default Product Discount cannot be combined with any client discounts or the Pet Assure discount (if applicable). You can view the discount in the invoice like you would a client discount.

Suggested Use Case: Common Coupons or Clinic Promotions

Create a product with a $0.00 selling price and add a Default Product Discount to apply the discount to the invoice automatically when the product is added. This allows users without the permission to manually adjust pricing on the invoice to still apply approved coupons and promotions, PLUS it enables tracking for coupons and promotion use.

Admin | Clinic Settings

The Clinic Settings tab in your Admin menu has been re-organized for easier access to basic functions, settings, and features. Head over to Clinic Settings and click through the tabs and subtabs! Advanced settings are no longer hidden under several clicks and your Clinic Shortcuts and clinic closures are easily accessible.
