Tracking vaccine lots, Admin menu updates, SOAP improvements, and more!

Failed Notification Events

In your Shepherd Admin menu, there is now a tab called Failed Notification Events where you can view emails and SMS that were sent but not delivered to your clients. View the timestamp, client name and email, template that was sent, and the reason it failed in the table. Once you've corrected the error or resent the message, you can archive failed notification events individually or en masse.

Multiple Vaccine Lots & Expiration Dates

Vaccine administration and tracking just got the first phase of a glow-up many of you have been waiting for! You can now track multiple vaccine product lot numbers and lot expiration dates.

  • Keep track of multiple lot and expiration date details in any vaccine product

  • View lot history for any product with lot tracking enabled

  • Archive lots that are used up, expired, or otherwise damaged

  • On the Plan tab of a SOAP, select the appropriate lot when you administer a vaccine (with multiple active lots)

SOAP

  • Show/add Previous Physical Exam: On the Objective tab of a patient SOAP, select the View Past Exams button in the Physical Exams section to view and/or import a previous physical exam into the SOAP. View the patient's full PE history in the dropdown labeled with template name and exam date and time.

  • Import Previous Body Map: In any physical exam, you can now select the Import (existing body map) to choose from the patient's previous body maps. Imported body maps will be a copy of the selected previous body map, which can then be edited or marked up further for the existing exam.

We now have a "Skull and Limbs" body map and a "Vertebral Column" body map.

Schedule

Updates to the appointment schedule include:

  • Saving Provider Settings Per User: use the provider checkboxes to set your preferred view; navigate to a new page, lock your screen, or log out, and your schedule view will be saved when you return

  • Quick Client Add Fields: Enter a new client's address to be included in their client profile when adding them from the Appointment Schedule.

Admin Menu | Client Communications

Further updates will be coming to the Admin menu. In this release, you will notice a new tab in your Admin menu called Client Communication which organizes and consolidates all client communication settings into one centralized location. Here you'll find the following:

  • General messaging and notification settings

  • Reminders*

  • Appointment Notifications

  • SMS Templates*

  • Pet Portal Settings

Things to Note:

  • Reminders has been moved from its own tab in the Admin menu to a subtab of the new Client Communications tab

  • SMS templates were previously only created from within a message in the Message Center. They can now also be created under the new Client Communications tab.

User Role Permissions

User permissions have been updated to account for the Admin menu reorganization.

  • Practice Owner and Admin user roles will have the new Client Communication permission giving them access to reminders, pet portal settings, and all tabs in Admin > Client Communication tab

  • A separate permission for Mass Communications has been added. Any user that had messaging permissions now also has this permission.

Tasks

  • Task Statuses: 2 new task status options have been added to provide an accurate report on any given task.

    • In Progress - For when a task is started but not yet complete

    • Waiting - Use when the staff member is waiting on someone or something, like lab results, in order to complete the task

  • Due Today: Using a one-click toggle at the top of the Tasks page, filter to view only tasks due on the current date.

  • Default Task Assignee: When a product has an automatic task, you can now choose if the task should be assigned to the Supervising Doctor, the Assigned User on the SOAP, or be left unassigned.

Products

  • Creating New Product: The flow of creating a new product has been updated to present you with only the applicable fields based on the product type selected.

  • Combo Vaccinations: Select the toggle to indicate the product is a combo vaccine and add multiple vaccination names and due dates. Use this when adding vaccinations like DHPPL where boosters are due at different times.

Note: Further updates to reminder templates are slated for a future release. In the meantime, you still need multiple reminders for combo vaccines.

Boarding Calendar

In the first step of optimizing the Boarding Calendar, we've added the ability to...

  • Check a patient in from the calendar, just like on the Appointments Schedule!

  • Link to the client and patient profiles directly from a reservation

  • Hover over a boarding resource to view the description
