Exporting Medical Records

Export part or all of a patient's medical record or an individual SOAP.

You can easily download, print, or email a patient's medical record directly from their profile or SOAP in Shepherd. This guide outlines the different methods available for sharing complete records or individual SOAP notes, along with customization options for content and delivery.

Exporting From the Patient Profile:

  1. Navigate to the patient's profile

  2. From the History tab, you have three options for sharing patient records

    1. Send via email

    2. Download the medical record

    3. Print the medical record

  3. After selecting the sharing method, you'll be prompted to choose which details to include in the export.

SOAP notes will always be included in the exported file. If you prefer to include only SOAPs that have been locked, you can enable the corresponding toggle.


Emailing Records

You can email a secure link to a patient's medical records directly from their profile in Shepherd. This link allows recipients to access the records for 10 days from the date the email is sent.

  1. From the patient's History tab, click the Send Email icon (paper plane)

  2. Choose which specific details to include in the export and decide whether to include only locked SOAP notes or all.

  3. Set the date range - All Time or Between Dates to specify a custom time range

  4. Verify or update the email address(es) you'd like to send to - this will default to the clients email address

  5. Enter a subject line and optional message body to provide context

  6. Select Email to send


Receiving History via Email

When a patient’s history is emailed, the recipient will receive an email containing a secure download link. This link allows them to view the record and select which information they’d like to download.

  • The recipient can review and choose specific items within the history to export.

  • The link remains active for 10 days from the date the email is sent.

Any PDF files included in the patient's history must be downloaded separately by the recipient. These are not bundled with the rest of the downloadable content.


Downloading the Medical Record

  1. From the patient's History tab, click the Download icon

  2. Choose which specific details to include in the export and decide whether to include only locked SOAP notes or all.

  3. Set the date range - All Time or Between Dates to specify a custom time range

  4. Select Export

The selected documents will be downloaded as a .zip file based on your chosen criteria. Once the download is complete, open the containing folder to access the exported files.


Printing the Medical Record

  1. From the patient's History tab, click the Download icon

  2. Choose which specific details to include in the export and decide whether to include only locked SOAP notes or all.

  3. Set the date range - All Time or Between Dates to specify a custom time range

  4. Select Print

A new browser tab will open with a printable version of the selected medical records, ready to be printed.


Exporting and Emailing an individual SOAP

You can export the details of an individual SOAP directly from within the patient record.

  1. From the History tab, select the SOAP you want to export to open it.

  2. In the SOAP summary box, click the three vertical dots (more options menu).

    You’ll see the following export options:

    1. Export SOAP

    2. Export SOAP w/o Discharges

    3. Export Documents

    4. Email SOAP

Exporting the SOAP

For each export option, simply select the one that best matches your needs. A .zip file containing the SOAP will be downloaded to your computer’s Downloads folder.

Emailing the SOAP

  1. Select Email SOAP

  2. Confirm or update the recipient’s email address.

  3. Add a subject line and message body (optional).

  4. To include discharge instructions, check the Include Discharge Instructions box.

  5. Click Send.

The recipient will receive an email with a link to download the SOAP file. The link will remain active for 10 days.
