Accessing the Production Report
To access the production report, you’ll need to make sure that you’ve been granted permission. The quickest way to do that is by checking to see if ‘Reporting’ appears in the left hand menu (in the pink box in the image below).
If it doesn’t appear, you’ll need to contact someone with admin access in Shepherd and get your user role (or role’s permissions) updated. See our guide for how to do that.
Note: you could also have access to certain reports and not others. These permissions can be updated by your administrator.
If ‘Reporting’ does appear on the left hand menu, click to open Shepherd’s reporting section. From here, you’ll be able to access the production report, as well as any other reports you have permissions for.
The reports section of Shepherd. Note: the production report is in the green box.
The Production Report
The production report is broken down into a few sections, giving you tons of flexibility in how you generate it. The filters are:
Date range (in pink)
Time period breakdown (blue)
Show/don’t show commission (orange)
Time period (green)
Download CSV (black)
Date Range
The date range allows you to manually select a range of dates (down to 5 minutes of specificity, no less) for the production report. You’ll need to select a starting date (‘Date from’) and an ending date (‘Date to’).
Tip: if you only want to run a production report for a single day, you can select the same day for ‘Date from’ and ‘Date to.’ Don’t forget to change the times to match the open/close times of your practice.
Note: Any selection made in the ‘Time period’ section after you manually select your date range will override your date range.
Time Period Breakdown
This dropdown allows you to break down the time period of the report by:
Day
Week
Month
Quarter
Year
This means you can have as high-level or granular a look at production as you need.
Show Commission
Checking this box displays how much commission was earned per product category.
If you want to update the commission percentage for your production users, that’s done in the ‘Product Category’ section of admin.
Time Period
If you don’t want to use the dates, and would rather use a fixed time period for your report, you’ll want to use these buttons instead of the date selector. Your options are:
This month
This quarter
This year
Last month
Last quarter
Last year
When you select one of these date ranges, it will override any dates that you may have entered in the date selectors.
Download CSV
Once you’ve selected your desired date range/filters, click the ‘Download CSV’ button to download your report.
The production report functions a bit differently than the other Shepherd reports because there’s not the ability to download a PDF or generate a report in the browser. This is because of how flexible the report is, meaning that depending on how you needed your report to look, it could be next to impossible to interpret in a PDF or in the browser.
By only allowing the report to be downloaded as a CSV, you’ll be able to have the most consistent and manageable view, while also allowing you to manipulate the data however you need.
Once the report has been downloaded, you can view it in the program of your choice. Programs that can open a CSV include:
Microsoft Excel
Google Sheets
LibreOffice
Numbers (MacOS)
