Shepherd Connect: Beta Testing Guide - Email and SMS

Test real-world email and SMS workflows and share your feedback to help shape Shepherd Connect.

Use this guide to test real-world Email and SMS workflows and share feedback about your experience.

The scenarios below are designed to help your team test Shepherd Connect using workflows similar to those you handle every day — they are not a strict testing script. Explore beyond them and use Shepherd Connect as naturally as possible.

As you test, please tell us about anything that feels confusing, broken, difficult, or different from what you expected. Small friction points are just as valuable as larger issues.

What's Included in This Beta

Email

You can test:

  • Sending and receiving email through Shepherd Connect

  • Your clinic's assigned Shepherd Connect email address

  • Your outbound email display name and signature

  • Email templates configured by your practice

  • Email conversation history within Shepherd

SMS

You can test:

  • Sending and receiving SMS conversations through the Communication Center

  • SMS templates

  • Applying SMS templates during an active conversation

  • SMS conversation history within Shepherd

Your existing registered Shepherd SMS number is used with Shepherd Connect — no additional SMS setup is required.

Communication Center

Across both Email and SMS, you can test workflows including:

  • Starting conversations

  • Scheduling messages

  • Assigning conversations

  • Linking clients and patients

  • Categorizing conversations

  • Filtering your conversation list

  • Closing conversations

  • Creating appointments

  • Adding client notes

Some Shepherd Connect functionality is still being developed and will be introduced during later beta testing.


Testing Scenarios

Use the scenarios that make sense for your practice. You do not need to complete them in order.

Scenario 1: Set Up Email

Try this:

  1. Navigate to Admin > Client Communication > Email.

  2. Enable Email.

  3. Confirm your clinic's new email address appears in Email settings. It may take a few minutes to generate.

  4. Review your Display Name.

  5. Configure your outbound email signature.

Expected result:

Your clinic's Shepherd Connect email address is generated and ready to send and receive email.

Watch for:

  • Your generated email address does not appear

  • Your clinic or display name appears incorrectly

  • Special characters display unexpectedly

  • Signature variables do not display as expected

  • Your practice logo or signature formatting appears incorrectly


Scenario 2: Receive and Reply to an Email

For example, try a prescription refill question or a follow-up after a recent visit.

Try this:

  1. From an outside email account, send a realistic message to your clinic's Shepherd Connect email address.

  2. Confirm the email appears as a new conversation in the Communication Center.

  3. Reply from within Shepherd.

  4. Confirm the sender receives your response.

  5. Review the client's profile and confirm the communication appears where expected.

Expected result:

The incoming email appears in your Communication Center, your reply sends from the clinic's assigned address, and the conversation is associated with the appropriate client record.

Known Beta Behavior: If you export an email conversation into the Medical Record as an attachment, the email signature cannot currently be removed and the attachment may appear as 0 bytes. Please still tell us if this affects your workflow.


Scenario 3: Receive and Reply to an SMS

For example: Running 10 minutes late for my 2 PM appointment.

Try this:

  1. Send a realistic text message to your clinic's existing SMS number.

  2. Confirm the message appears in the Communication Center.

  3. Filter conversations by SMS and confirm you can find it.

  4. Reply from Shepherd.

  5. Confirm the sender receives your response.

  6. Review the client's communication history.

Expected result:

The SMS appears as a conversation in the Communication Center, your response reaches the client, and the conversation is associated with the appropriate client record.


Scenario 4: Start a New Conversation

Try clients with different available contact methods. Tell us if the channel options are confusing or do not behave as expected when a client only has one communication method available.

Try this:

  1. Select Start New Conversation from the upper-right corner of the Communication Center.

  2. Select a client.

  3. Choose SMS or Email.

  4. Write and send your message.

  5. Confirm the client receives it.

Expected result:

A new conversation appears in your conversation list and the client receives the message through the selected channel.


Scenario 5: Schedule a Message

Test scheduling with either an SMS or email conversation.

Try this:

  1. Compose a message.

  2. Choose the option to schedule it for later instead of sending immediately.

  3. Select a time a few minutes in the future.

  4. Confirm the message appears as scheduled.

  5. Wait until the scheduled time.

  6. Confirm the message sends and the client receives it.

Expected result:

The message remains scheduled until the selected time and then sends automatically.

Watch for:

  • The message does not send at the expected time

  • It is difficult to tell whether a message is scheduled or already sent

  • The scheduled message status does not update as expected


Scenario 6: Assign and Organize a Conversation

Use a real conversation that would normally need to be routed or categorized by your team. For example, you might categorize a conversation as a billing, medical, or scheduling question.

Try this:

  1. Open a conversation.

  2. Assign it to the appropriate team member or team.

  3. Link it to a patient, if applicable.

  4. If Shepherd did not automatically recognize the sender, link the correct client.

  5. Apply an appropriate category.

Expected result:

The assignment, client and patient association, and category save and are visible to other team members.

Watch for:

  • An assignment or association does not save

  • Ownership of the conversation is unclear

  • The conversation is linked to the wrong client or patient

  • Categorization is confusing or difficult to use


Scenario 7: Review Conversation Counts

Choose a conversation with several interactions.

Try this:

  1. Open the conversation.

  2. Review the counts displayed for the available conversation filters.

  3. Compare those counts with the items actually displayed.

Expected result:

The displayed counts accurately reflect the content available within each section. Tell us if the counts become inaccurate, particularly after assigning, closing, or reopening a conversation.


Scenario 8: Filter Conversations

Once you have several conversations available, experiment with the Communication Center filters.

Try filtering by:

  • Channel, such as SMS or Email

  • Assignment

  • Unassigned conversations

  • Status, when available

Then combine filters, such as SMS + Assigned to Me.

Expected result:

Each filter narrows the conversation list to matching conversations. Combining filters should narrow the results further. Tell us if conversations appear that do not match your selected filters, or if combining filters produces unexpected results.


Scenario 9: Close a Conversation

Try this

  1. Choose an open conversation that has been resolved.

  2. Close it using the available controls.

  3. Confirm it leaves your active conversation list.

  4. Locate the conversation again through its history or associated client record.

Expected result:

The conversation leaves the active queue but remains available for future reference. Tell us if a closed conversation becomes difficult to locate or disappears from areas where you expect its history to remain available.


Scenario 10: Create and Manage an Appointment

Try handling a scheduling request without leaving the conversation.

Try this:

  1. Open a conversation with a client.

  2. Select Create Appointment from the right panel.

  3. Create an appointment and confirm it appears correctly on the schedule.

  4. Edit the appointment and change its time.

  5. Cancel the appointment.

  6. Confirm each change appears correctly on the schedule.

Expected result:

Appointments created from Shepherd Connect behave like appointments created through the normal scheduling workflow. Tell us if creating, editing, or cancelling an appointment behaves differently than you expect.


Scenario 11: Add a Client Note

Try this:

  1. Open a conversation.

  2. Add a note to the client's profile from the conversation.

  3. Open the client's profile.

  4. Confirm the note was saved to the correct record.

Expected result:

The note saves successfully and is available to other team members from the appropriate client or patient record.

How to Send Feedback

Tell us about anything that feels confusing, broken, unexpected, or unnecessarily difficult — even if you were still able to complete the workflow. Screenshots and examples are especially helpful when something does not behave as expected.

You can send beta feedback through the in-app chat. Let the Support team know you are submitting beta feedback and they will connect you with the right team.

The scenarios in this guide are only a starting point. Use Shepherd Connect in your normal workflows and tell us where the experience works well and where it can be better.
