Purpose

Scritch AI connects a 24/7 virtual receptionist (โ€œEmilyโ€) to Shepherd so your clinic can answer every call, book and manage appointments, handle refill and records requests, and respond to FAQs - all without adding staffing overhead. The integration syncs with your client/patient data and schedule to keep everything accurate and in one place.

Integration Overview

With Scritch AI connected to Shepherd, you can:

  • Automate call handling - Always-on answering with smart routing/escalation to your team when needed.

  • Manage appointments - Create, reschedule, cancel, confirm, and backfill openings in real time.

  • Recognize clients - Identify callers by number, reference patient records, and create new client/patient profiles when needed.

  • Process requests - Capture prescription refill and medical records requests (post-doctor sign-off), leaving tasks for staff when appropriate.

  • Answer FAQs - Share hours, services, prep instructions, vaccine due dates, and other policy-driven info tailored to your clinic.


Activating the Scritch AI Integration

Enable Scritch AI in Shepherd

  1. Go to Admin โ†’ Integrations.

  2. Find Scritch.

  3. Toggle Enable Integration on.

Send activation details to Scritch

Email team@scritchai.com with the subject:

New activation for Shepherd Practice: [New Practice Name]

Include in the email body:

  • Clinic ID

  • Practice Name

  • User Name

  • Email Address

  • Practice Address

  • Website URL

  • Phone Number

  • Practice Management Software (Shepherd)

  • Coverage preferences (hours Emily should handle vs. transfer to staff)

Scritch will finalize configuration, sync schedules, and load your FAQ/protocols.
