Managing Diagnostic Test Code Updates in Shepherd
When diagnostic partners like IDEXX release updates, you may encounter issues in Shepherd such as test codes going inactive or producing invalid ID errors. These updates often involve retiring old codes and introducing new ones that require manual activation.
This article outlines how to manage diagnostic test code updates in general, using the recent transition from SNAP Heartworm to SNAP Heartworm RT as an example.
Why test codes change
Diagnostic providers periodically revise test codes to comply with regional requirements or to standardize their systems. These changes can:
Deactivate older codes
Introduce replacement codes
Affect workflows where the original codes were used
As a result, previously functioning test codes may stop working or become unavailable in your system.
How to find and activate updated test codes
If a test seems to be missing or returns an error, follow these steps:
Navigate to Admin -> Products -> Lab Integration Products and select the appropriate lab (if there are multiple)
Confirm the Show Mapped toggle is on
Filter by Inactive or All statuses
Find and update any affected codes based on the provider's current list
If you still aren't seeing the code in mapped/inactive, toggle off Show Mapped
If you’re seeing an invalid ID error, we recommend turning on Show Mapped and filtering for Inactive or All to locate and activate the appropriate replacement code.
Example: The updated Heartworm RT code may be mapped but inactive. Enabling the correct filters will help you find and activate it.
What to do with retired test codes
Some older diagnostic codes are no longer supported and cannot be reactivated. These codes will display a yellow triangle warning icon.
If a code is flagged and won’t save when edited, it is likely deprecated.
Avoid using these codes going forward, even if they appear in older bundles or templates.
Example: The legacy “SNAP Heartworm” code (no “RT”) is considered invalid. Instead, use Heartworm RT.
How to update bundles and workflows
After activating a new diagnostic code, make sure your system references the correct version:
Update pricing: review the new code and adjust the price if needed.
Edit bundles or templates: Replace the retired code with the updated one in all relevant bundles, protocols, or templates.
This ensures smooth test selection and avoids workflow errors.
