πŸ“‹ Overview

The Appointment Report is divided into two main tabs:

  • Appointments: displays all non-cancelled appointments

  • Cancelled Appointments: shows appointments that were booked but later cancelled


πŸ” How to Use the Appointment Report

Set Advanced Filter Parameters

Before generating a report, configure the following:

  • (Required) Time Period: select a time period you'd like to review

  • Filter by: choose whether to sort the data by Scheduled Date or Appointment Date

  • Appointment Status: select which appointment statuses to include in the report

  • Scheduling User: filter by team member who scheduled the appointment

  • Appointment Scheduling Method: choose the method used to schedule the appointment

    • Internal: scheduled within Shepherd

    • Pet Portal: scheduled through the Pet Portal

    • OpenAPI: scheduled using an external vendor

  • Provider: narrow the report by specific provider(s)

  • Supervising Doctors: filter results by supervising doctor(s)

  • Appointment Type: select one or more appointment types to include

  • Choose whether or not to include Block Appointments

If no optional parameters are selected, all options will be included by default

Click View Report to generate the data.


πŸ“Š Appointments Tab

This tab displays all scheduled and active appointments. You’ll see:

Column

Description

Scheduled Date

Date the appointment was initially scheduled

Appointment Date

Date the appointment is scheduled to be seen

Appointment Status

Status such as Pending Request, Check Out, No Show, Upcoming, Checked In, etc.

Scheduling Method

Internal, Pet Portal, or OpenAPI

Appointment Type

Lists defined appointment types. Will include Block Appointments if toggled on

Scheduling User

User who scheduled appointment

Provider Name

Provider assigned to the appointment

Supervisor Doctor

Supervisor Doctor, if applicable

Client Type

Client type classification, if applicable

Client Name

Full name of the client

Patients Name

Full name(s) of the patient(s)

❌ Canceled Appointments Tab

This tab lists shows appointments that were booked but later cancelled.

Column

Description

Scheduled Date

Date the appointment was initially scheduled

Appointment Date

Date the appointment was scheduled to be seen

Cancelled On

Date appointment was cancelled. Appointments created before this feature was implemented will not have a cancellation date recorded, and --/--/---- will be displayed

Appointment Type

Lists defined appointment types

Scheduling User

User who scheduled appointment

Provider Name

Provider assigned to the appointment

Client Name

Full name of the client

Patients Name

Full name(s) of the patient(s)

You can also click Download to export the report as a PDF or CSV file.


πŸ’Ύ Downloading Reports

Click the Download button or use the Appointments CSV/Canceled Appointments CSV links to save your results in spreadsheet CSV or PDF format for further analysis or historical archiving.


πŸ“Œ Tips

  • You must select a Time Period to generate the report

  • If no data appears, check your filters or widen the date range

  • If you have multiple locations, you can choose to run the report for one or all locations
