SOAP Report

Provides an overview of SOAP activity, including Dr & user assignments, visit details, and financials to assess productivity and performance

The SOAP Report gives you a clear view of all patient visits based on their stage in your workflow — from check-in to charges completed, invoice check-out, and locked SOAPs. It’s a powerful tool for making sure no visit is missed or left incomplete.

Beyond tracking visit statuses, this report also allows you to monitor workflow efficiency and team productivity by showing which users were involved in each visit and when key actions were completed.


🗓 Time Period & Filters

Before running the report, you can apply the following filters:

Description

Time Period

Choose the date range for the SOAP records (e.g. Today, Yesterday, Last Week).

Run Report By

Select which SOAP stage you want to filter by:
- Check-In
- Charges Complete
- Invoice Checked Out
- Locked SOAP

Supervising Doctor

Narrow the report to SOAPs assigned to a specific veterinarian.

Assigned User

Filter by support staff or techs assigned to the SOAP.

Once filters are selected, click View Report to populate the results.

💡 Start with “Check-In” to see SOAPs that began today, and work through the others to track progress.


📋 Understanding the Report Table

After generating the report, you’ll see a detailed table with the following columns:

Column

Description

SOAP Title

Name or type of the SOAP record.

Supervising Doctor

The doctor assigned to the visit.

Assigned Users

Staff linked to the visit (e.g. techs, assistants).

SOAP Invoice Total

The total amount invoiced for the SOAP.

Location

Exam room or area where the visit took place.

Check-In

Time the patient was checked in.

Charges Complete

Time when charges were marked complete.

Invoice Checked Out

Time the invoice was checked out (finalized).

📌 Sort columns using the arrows next to the headers for easier tracking (e.g. sort by invoice totals or time).


📦 Bottom Summary Row

At the bottom of the report, you'll find:

  • Total No. of Visits: Count of all SOAP records that match your filters.

  • Total: The combined invoice total for all visits in the report.


📤 Viewing & Download Options

You can interact with the report in three ways:

  • View Report (button): Generate an interactive visual within Shepherd.

  • Download (button): Get a copy of the full current report as a PDF or CSV.

  • Table Specific CSV Download: A quick download of the current table in CSV format for spreadsheet use.


🧠 Use Case Tips

  • Morning Review: Run by “Check-In” to see which patients are already in for the day.

  • End-of-Day Audit: Run by “Charges Complete” or “Invoice Checked Out” to verify everything has been properly finalized.

  • Workflow Tracking: Use “Locked SOAP” to identify which cases have been medically completed/documented.


🧩 Troubleshooting

  • If you see “No SOAP Report generated”:

    • Ensure required filters like Time Period are selected.

    • Expand filters to capture broader data
