Prescription Report

Tracks prescribed medications for patients, including dates, dosages, and refills.

The Prescription Report provides detailed tracking of all prescribed medications—both in-house and written prescriptions—administered or issued during a selected timeframe. It is essential for monitoring prescribing activity, identifying refill needs, and reviewing controlled substance usage.

The report includes two sub-reports:

  • Prescription Report – captures original prescriptions issued.

  • Prescription Refill Report – lists medications dispensed as part of a refill.

This report is ideal for:

  • Monitoring prescribing trends by doctor or medication

  • Reviewing medication types and refill frequency

  • Tracking controlled vs non-controlled prescriptions

  • Managing compliance with prescription validity and expiration dates

  • Exporting for internal audit or pharmacy coordination


🛠️ Key Features

  • Filter by Time Period, Medication Name, and Prescription Type

  • Toggle to view only Controlled Drugs

  • View and compare both original prescriptions and refills

  • Export data as a CSV or PDF file for records or analysis

  • Summarized total count of prescriptions/refills dispensed


✅ How to Use the Report

1. Choose a Time Period

Use the dropdown to define the timeframe you want to view (e.g., This Month, Last Quarter).


2. Apply Filters

  • Medication Name: Select one or multiple medications to narrow the report.

  • Prescription Type:

    • All: Shows both in-house and written prescriptions.

    • In-House: Prescriptions filled internally.

    • Written: Prescriptions provided to be filled at an external pharmacy.

  • Controlled Drugs Only: Use this toggle to isolate federally regulated substances.


3. View Report Tabs

Displays all newly issued prescriptions, with these columns:

🔁 Prescription Refill Report Tab

Shows refills dispensed, with similar structure to the primary report. Useful for reviewing:

  • Ongoing prescription adherence

  • Repeat dispensing trends

  • Drugs approaching renewal windows


4. 📤 Viewing & Download Options

You can interact with the report in three ways:

  • View Report (button): Generate an interactive visual within Shepherd.

  • Download (button): Get a copy of the full current report as a PDF or CSV.

  • Table Specific CSV Download: A quick download of the current table in CSV format for spreadsheet use.


📌 Tips for Use

  • Use Controlled Drugs Only toggle for DEA log preparation.

  • Filter by prescribing doctor for performance or audit insights.

  • Match Rx Valid Thru and Medication Expiration to ensure safety and compliance.

  • Regularly review Refill Report to ensure timely follow-up with clients.


🧠 Best Practices

  • Export monthly for regulatory or pharmacy reconciliation.

  • Identify unusually high refill rates to audit patient care patterns.

  • Review quantity dispensed for discrepancies against clinic inventory.
