Shows a detailed list of all inventory items, including quantities, locations, and statuses.

The Inventory Items report provides a comprehensive, scrollable overview of inventory items across statuses, helping you track stock levels, vendor sources, costs, and reorder thresholds. Here's how to use it:


📌 Getting Started

Step 1: Run Report By

Use the dropdown menu labeled “Run Report By” to choose which inventory items to include:

  • Active Items – currently in use or in stock.

  • Inactive Items – not currently being used or stocked.

  • All Items – includes both active and inactive items.

🔔 Tip: “Active Items” is the default option for a quick view of what’s currently in circulation.

Step 2: Set Date & Time

Specify the timestamp for when the report should be generated.


📊 Understanding the Report Table

Once the report is generated, a scrollable table appears with multiple columns, each providing crucial inventory data:

Core Inventory Columns

Column

Description

Status

Whether the item is active or inactive.

ID

Unique identifier for each inventory item.

Name

Inventory Item Name

Barcode

Barcodes associated with the item (if available).

Product Locations

Where the item is stored (e.g., Pharmacy, Medications).

Vendor

Supplier or vendor source (e.g., Covetrus, Vetcove).

Current QOH

Quantity on Hand (with unit type like mLs, Tablets, Cans).

Stock & Reorder Metrics

Column

Description

Order Quantity

Standard quantity ordered per restock.

Min Quantity

Minimum threshold to trigger restocking.

Max Quantity

Maximum suggested quantity for that item.

Reorder Point

Level at which reordering is initiated.

Units per UOM

Measurement unit of your Unit of Measure for ordering (e.g., 50 mLs, 100 Tablets).

Cost per UOM

Unit of Measure cost from the vendor.

Total Cost Value

Total value of current inventory for that item.

Initial Inventory Overview

Column

Description

Initial Count

Starting stock level when added to inventory.

Product Names

The linked retail product item, if applicable


💰 Bottom Line

At the bottom of the report:

  • Grand Total Cost Value shows the total monetary value of all inventory listed in the report.


📤 Exporting the Report

Once reviewed, you can:

  • Download the full report in CSV or PDF format using the “Download” button.

  • Click “View Report” for a refreshed view based on selected filters and time.

🔎 Use column sorting or the filter icons to quickly search or rearrange values (e.g., highest quantity, lowest cost).


✅ Best Practices

  • Regularly run the report using “Active Items” to monitor restocking needs.

  • Use the Reorder Point and Min/Max Quantity to plan purchases.

  • Check for negative QOH (like -9 Cans) to identify discrepancies or shrinkage issues.

  • If backdating the report, confirm which columns support historical data metrics using the provided tooltips.
